The short answer
TacBoard's Unlimited plan gives your venue one permanent phone number and QR code for guest photos, for $99 a month. Put the number on signs in the room once, connect a laptop to your screen or projector, and every event you host gets a live photo stream. Guests text or scan, with no app. At four events a month that is about $25 per event, compared with $159 for a single-event plan. You can cancel anytime.

Why venues add a live photo stream
Couples and event planners compare venues on the experience they can offer, not just the room. A live photo stream is an amenity guests notice and talk about. It runs itself, and it uses the screen or projector most venues already own.
- A feature you can list. Add "live guest photo wall included" to your packages and tour script. It costs you the same whether you host one event a month or eight.
- Set up once. The number never changes while you are subscribed, so you can frame signs, print it on table tent cards and add it to your welcome packet.
- Nothing for your staff to learn. Turning it on for an event takes a laptop, an HDMI cable and the Display Live button. The stream runs on its own for the rest of the night.
- Content for your own marketing. Real guest photos from real events at your venue, with permission from your clients.
What it costs per event
The Unlimited plan is a flat $99 a month. The more events you host, the less each one costs. A single event on the one-time text plan is $159.
| Events per month | Monthly plan | Cost per event | One-time SMS plan per event |
|---|---|---|---|
| 1 | $99 | $99 | $159 |
| 2 | $99 | $49.50 | $159 |
| 4 (every weekend) | $99 | $24.75 | $159 |
| 8 (Fridays and Saturdays) | $99 | $12.38 | $159 |
Some venues include the photo stream in every package. Others offer it as an add-on to clients. Either way, the subscription costs the same.
How it works at a venue
- 1
Subscribe to the Unlimited plan
Choose Unlimited SMS & QR Code on the pricing page. Your gallery and its permanent number are ready in minutes.
- 2
Make permanent signs
Use the free sign shop to design signs and table cards with your number and QR code. Frame one by the entrance and one by the bar.
- 3
Set up the screen once
Leave a laptop and an HDMI cable with your AV gear, or use the projector laptop you already have. The setup guides cover TVs, projectors and casting.
- 4
Before each event, preload the client's photos
Text or upload the couple's engagement photos or the company's logo so the screen is personal when guests arrive.
- 5
Go live
Open the gallery, press Display Live, and the stream runs for the whole event. Guests text or scan, and photos appear within seconds.
- 6
After the event, hand the photos over
Hosts download the whole gallery in one click. Send the download to your client, then remove the event's photos so the stream is fresh for the next booking.
Venues it works well for
- Barn and rustic wedding venues. See barn wedding venues.
- Banquet halls and event centers that host weddings, quinceañeras, galas and corporate dinners in the same room.
- Country clubs and golf clubs with member events, tournaments and weddings.
- Wineries and breweries that host private parties and release events.
- Hotels and conference centers with ballroom events every weekend.
- Funeral homes that offer families a shared celebration of life slideshow.
Control and privacy for your clients
An automatic content filter checks every photo and message. Anything it flags waits in a queue where you approve or delete it, and you can block a sender.
Choose from 18 gallery themes and add your own cover photo. Use your venue's logo or the couple's photo as the cover. The gallery is private and only reachable by its link.
Text-message uploads work in the United States and Canada. QR code uploads work worldwide. Live display needs reliable Wi-Fi or a hotspot for the laptop, and guests need cell signal to text. If coverage is weak in part of your venue, test it with Try TacBoard.
Adding it to your packages
Venues that get the most from the plan treat the photo stream as part of the venue, like the lighting or the sound system, not as a vendor the client books.
- Name it in the package. "Live guest photo wall on our screen, with every guest photo delivered after your event" is specific enough to stand out on a comparison spreadsheet.
- Show it on tours. Leave the stream running on the screen during tours with photos from a recent event (with that client's permission). Prospective clients understand it in seconds.
- Include it, or charge for it. Some venues fold it into every package to win bookings. Others sell it as an upgrade. Either way your cost is the same flat monthly fee.
- Put the number in your welcome packet. Clients can share it with their guests before the event, so throwback photos are already loaded on the night.
- Tell planners and DJs. They are often the ones setting up AV. A one-page sheet with the setup steps saves everyone time.
Event-day checklist for your staff
| When | Task | Time it takes |
|---|---|---|
| Week before | Preload the client's photos and logo, and set the gallery theme | 10 minutes |
| Setup | Connect the laptop to the screen, open the gallery, press Live | 5 minutes |
| Setup | Send a test photo and check it appears | 1 minute |
| During the event | Glance at the review queue on a phone now and then | As needed |
| After the event | Download the photos and send them to the client | 5 minutes |
| Before the next event | Remove the last event's photos from the stream | A few minutes |
If several staff members open and close the building, keep the login with your AV notes so anyone can start the stream.
