The short answer
TacBoard gives your conference a phone number and a QR code. Attendees text or upload photos from sessions, the exhibit hall and the evening events, and the photos stream live on any screen you connect a laptop to. There is no app to install and no account to create. One event is $159 (text + QR) or $49 (QR only). Associations that run several meetings a year use the $99/month plan.
- Who it suits
- State and local teachers' associations, unions, education foundations and school district conferences
- Attendee effort
- Text one number or scan one QR code
- Screens
- Any TV or projector connected to a laptop
- After the event
- One gallery with every photo, ready for the newsletter and social posts
Why conference organizers use a live photo wall
Association conferences have a photo problem. The communications staff need photos for the newsletter, the website, the member magazine and next year's registration push. The best photos are on attendees' phones: the classroom teachers who drove in from across the state, the retirees' luncheon and the delegate assembly floor. Most of them never get shared.
A live photo wall turns that around. When attendees see a screen near registration or behind the stage filling with photos from the event, they join in. Every photo lands in one gallery the association owns, with the sender's name attached, so you know who to credit and who to ask for permission.
Texting matters for this audience. Teachers' association members span every age, and many will not install a single-use conference app. Nearly everyone can text a photo to a phone number.
Where to put the screens
- Registration and the main hallway. The first screen people see sets the habit. Run the stream here from the moment doors open.
- The general session, before and after the keynote. Put the stream on the main screens while the room fills, then switch to the speaker's slides.
- The exhibit hall. Exhibitors and sponsors like seeing their booths on screen, and a booth photo contest gives people a reason to walk the hall.
- Awards luncheons and evening receptions. These are the most photographed moments of the conference. See awards nights and banquets.
Every screen shows the same gallery, so you can open the live stream on several laptops at once and every screen updates together.
Setting it up for a conference
- 1
Create one gallery for the conference
Name it after the event. You get the text number and QR code immediately, so you can print them in the program.
- 2
Put the number in the program and on signs
Use the free sign shop for posters and table cards. Add the number to the slide the emcee shows before each general session.
- 3
Preload welcome content
Text or upload a welcome image, the hashtag, sponsor thank-you images and photos from last year's conference so the screens are never empty.
- 4
Open the stream on each screen's laptop
Log in, open the gallery, press Display Live, and connect by HDMI. See the display setup guides for projectors and other displays.
- 5
Assign one person to watch the queue
An automatic content filter checks every photo and message. Anything it flags waits in a queue where you approve or delete it, and you can block a sender. One staff member with a phone can handle it for the whole event.
- 6
Download everything at the end
Hosts download the whole gallery in one click. Every photo carries the sender's name, which makes crediting and permission requests easier.
Ideas that get attendees sending photos
- A first-year teachers' shout-out. Ask new members to text a selfie with their name and school.
- My classroom. Invite attendees to send a photo of their classroom from back home, which makes a strong theme for the opening session.
- A retirees' wall. During the retirees' luncheon, show throwback photos you collected from members beforehand.
- Exhibit hall passport. Ask attendees to text a photo at each sponsor booth for a prize drawing.
- Delegate assembly moments. For representative assemblies, the stream becomes a record of who was there.
Running it across a multi-day conference
Most state teachers' association conferences run two or three days across several rooms. One gallery covers all of it, so the photo wall builds up over the whole event instead of starting from nothing each morning.
| Day | Where the screens are | What to ask attendees for |
|---|---|---|
| Day 1 | Registration, opening general session | Selfies with the conference sign, first-timers, "where I teach" photos |
| Day 2 | Exhibit hall, breakouts, evening social | Booth visits, session moments, the social event |
| Day 3 | Delegate assembly or closing session, awards luncheon | Award winners, retirees, the group photo |
Preload a slide at the start of each day with that day's highlights or schedule so the screen also works as signage. Before the closing session, run a quick reel of the best photos from all three days. Attendees cheer when they see themselves.
Turning the photos into member communications
The gallery is the part of the event your communications team will use for months. A few habits make it more useful:
- Ask for permission in the request. A line on the sign such as "Photos may be used in association publications" sets expectations.
- Use the names. TacBoard labels each texted photo with the sender's name, which makes captions and photo credits straightforward.
- Download at the end of each day. The full gallery is always there, but pulling the day's photos each evening lets the team post highlights while the conference is still running.
- Save a gallery link for the next conference. Last year's photos are the best promotion for next year's registration.
- Share the link with members who could not attend. It is a simple way to make them feel part of the event.
Unions and federations
Local unions and state federations hold the same events every year: the representative assembly, leadership trainings, retiree luncheons and member appreciation nights. One number on the monthly plan covers the whole calendar.

A single annual conference fits the one-time SMS & QR Code plan. If your association also runs regional meetings, leadership academies, a summer institute or awards dinners, the monthly plan covers all of them with one number. You keep the same signs and the same number in every program, at $99 a month, and you can cancel anytime.
Frequently asked questions
Do attendees need to download a conference app?
No. Guests never download an app or create an account. They text a photo to the number or scan the QR code.
Can we show the photo wall on more than one screen?
Yes. Open the live stream on a laptop at each screen. They all show the same gallery and update together.
Can we keep the photos for association communications?
Yes. Your event number accepts texts until 30 days after the event date. The gallery itself does not expire: you can view, share and download it for as long as you like. Hosts download the whole gallery in one click.
Will we know who took each photo?
The first time a guest texts, TacBoard asks for their name, and every photo they send after that carries it.
Can we filter out photos that should not be on screen?
An automatic content filter checks every photo and message. Anything it flags waits in a queue where you approve or delete it, and you can block a sender.
Is there a plan for associations that run many events?
Yes. The Unlimited plan is $99 a month and keeps one number active for every event while you are subscribed.
